Agency Matrix

Talent, Entertainment, Artist & Model Agencies

What goes wrong

Most of the money passing through an agency does not belong to it. A client is billed, the agency collects and keeps its commission, and the rest is owed to the talent. The agency’s revenue is the commission, not the invoice, and a system that treats gross billings as income is wrong in every direction at once.

From that one mismatch the rest follows. The booking system and the ledger disagree until someone re-keys the difference. Talent accounts need a running sub-ledger, not a vendor list. Usage renewals and exclusivities come due whether or not anyone is watching, and a renewal that is never invoiced never shows up as overdue, so the loss goes unnoticed. Across several offices and countries, every one of these problems multiplies.

What works

There are two paths, and the right one depends on the size of the agency and the complexity of its arrangements. On both, the general ledger is Dynamics 365, localized for each country. The principle holds either way: the general ledger should be boring. Agency complexity belongs in software built for it, never configured into the ledger by hand.

For most agencies: BookingLink365. Most agencies are small, and what they need is something better than QuickBooks, with the country-specific accounting expertise that comes with Dynamics 365. BookingLink365 carries billing from the booking system an agency already uses straight into Dynamics 365. It ends the monthly re-keying and adds no extra layer to maintain.

For larger agencies: AgencyLink365. Agencies with sophisticated commission, usage and multi-office needs are well served by specialized agency accounting middleware, and there are several good ones. AgencyLink365 connects any of them to Dynamics 365 Business Central, or to Finance & Operations where scale demands it. The middleware handles the agency logic, and summarized entries land in a clean ledger.

Both connectors are ours, built and maintained by Solution Matrix and coming to the Microsoft marketplace.

Why we know this industry

We have worked in agency operations since 2000. From 2011 we owned the accounting software a number of agencies ran on, which meant living with every edge case: the commission arrangement that doesn’t fit the rule, the statement a model disputes, the Paris office whose books must satisfy French requirements and not an approximation of them. Since 2012 we have supported agencies on the booking software they use every day. That work taught us the other half of the picture: not what a system ought to do, but what breaks on a Tuesday afternoon and who needs to be called.

What came from it is a set of focused solutions, each doing one job well, and friendly working relationships with the booking, middleware and accounting providers around them. We can connect all of it because we know the agencies, and we can be useful in the first conversation rather than the fifth.
